Predictive vs Preventive Maintenance: What's the Difference?
Preventive maintenance works on a schedule. Predictive maintenance works on evidence. For commercial HVAC the answer is almost always both, doing different jobs.
Preventive maintenance is work done on a schedule: every quarter, a tech changes the filters, cleans the coils, and checks the system over, whether anything is wrong or not. Predictive maintenance is work done on evidence: equipment is monitored continuously, and service happens when the data shows a problem developing. The difference is what triggers the work, the calendar or the equipment itself.
For commercial HVAC and refrigeration, this is not an either/or choice. The honest answer is that you want both, doing different jobs.

Why scheduled maintenance alone leaves a gap
A preventive visit is a snapshot. Equipment fails on its own timeline, and most expensive mechanical failures develop over days to weeks: a slow refrigerant leak, a compressor drawing more current every week, a defrost cycle that quietly stops finishing. If that starts the week after a quarterly visit, it has almost three months to become an emergency.
The result is a pattern most operators recognize: you pay reliably for maintenance, and you still get surprised by breakdowns. That is not the contractor doing a bad job. It is a structural limit of schedule-based work.
Why monitoring alone isn't the whole answer either
Filters do not appear dirty in a temperature graph until airflow has already suffered. Belts, contactors, and door gaskets are cheap to replace on schedule and expensive to diagnose from data alone. And every alert still needs a human with tools to act on it. Monitoring without a service relationship is a smoke alarm without a fire department.
How they fit together in practice
The practical model for a restaurant or commercial kitchen:
- Keep the preventive schedule for wear items and inspections, possibly at a lighter cadence over time as data builds confidence.
- Add monitoring on the critical equipment: the walk-in, the rooftop units, the ice machine, the things whose failure stops service. Our guide to HVAC monitoring covers what that involves.
- Let the data set the priorities. When the tech comes for the scheduled visit, they arrive knowing which unit has been drifting, so the visit spends its time where the risk actually is.
Done this way, the two approaches make each other better: the schedule handles the predictable, the monitoring handles the surprises, and the expensive failure mode of each is covered by the other.
Which one saves more money?
It depends on what your failures cost. If a breakdown means an inconvenient repair, scheduled maintenance alone may be economically fine. If a breakdown means a closed kitchen, spoiled stock, or lost service during a summer weekend, the avoided-emergency math shifts quickly toward adding monitoring, because a single caught failure can cover a long stretch of subscription.
